Who operates it

Google LLC, 1600 Amphitheatre Parkway, Mountain View, California 94043, United States (Google Ireland Limited, Dublin, for the EEA, UK and Switzerland). The Gemini API is Google's developer AI service, separate from the consumer Gemini app.

Why Budget Clan uses it

Only for the optional AI features you explicitly start: scanning a receipt, importing a bank statement, and estimating a historical currency conversion rate. No AI service is contacted unless you tap one of those actions.

Two routes, and they differ

Your own Gemini API key (Gold tier). The request goes directly from your device to Google. It never touches Budget Clan's backend, and we have no record of it beyond an optional entry in your own Settings sheet.
Budget Clan's AI service (Silver and Gold, credit-based). The request goes from your device to api.budgetclan.app (a Cloudflare Worker) to Budget Clan's backend in Sydney (Google Cloud), which calls Gemini using our key and returns the result.

What data reaches them

The document you chose to submit, meaning the receipt image or PDF, or the bank statement, plus a fixed extraction prompt. For currency conversion, only the two currency codes and a date. Nothing else from your records is sent, and no document is ever written to storage by Budget Clan: on the backend route it is held in memory, passed to Gemini, and discarded once the extracted values come back.

Where that data lives

Requests are sent to Google's global Gemini API endpoint. Budget Clan does not pin these requests to a region, so processing may occur outside Australia, including in the United States. If regional processing matters to you, leave the AI features switched off. Every one of them is optional, and the rest of the app works without them.

Model training

Budget Clan's own AI service runs on a paid Gemini API key. Google's Gemini API terms, as published at 20 July 2026, distinguish paid from free use: Google states that it does not use prompts or responses submitted under paid billing to improve its models, while free-tier usage may be used by Google to improve its products. If you use your own key, which of those applies depends on your key's billing status, so check it before sending documents through.
