Privacy Policy

The short version

Budget Clan does not have a database of your financial data. Everything you enter (expenses, budgets, accounts, transactions, subscriptions, receipts, and every other record) is written directly to a Google Sheet that Budget Clan creates in your own Google Drive, using your own Google account permissions. We never see, copy, or store that data on any server we operate.

What Budget Clan stores, and where

All of your financial records live only in your Google Drive, in Sheets files owned by you. Budget Clan (running on your device or browser) talks directly to Google's Sheets and Drive APIs on your behalf, using the access you grant during Google Sign-In. There is no Budget Clan-operated database standing between you and Google.

The app also keeps a small amount of local device configuration, such as which files you've opened, display preferences, and (if you choose to use it) your own Gemini AI API key, in your browser's or device's local storage. This never leaves your device except when it's used to call the Google or Gemini APIs directly.

The backend (billing & AI credits)

Budget Clan operates an optional backend, hosted on Google Cloud, that supports paid tiers and an app-provided AI credit service. It stores, keyed only to an opaque Google account identifier (never your name, email, or financial records):

If you use your own Gemini API key instead of the app's AI service, your requests go directly from your device to Google's Gemini API and are not seen by Budget Clan's backend at all.

Third-party services

Budget Clan depends on the third-party services listed below. Each of them has its own privacy policy, which governs what it does with data it receives, and which you accept directly with that provider rather than through us. Who is responsible for your data

Budget Clan is the data controller for the limited personal data described above, and can be reached at policy.legal@budgetclan.app. For the financial records you create, you are in the ordinary sense their custodian: they sit in your own Google Drive under your own Google account, and Budget Clan holds no copy.

Why we are allowed to process it

For anyone in the EEA or the UK, these are the legal bases we rely on:

How long we keep it

Your financial records are not ours to keep: they stay in your Google Drive for as long as you choose to keep them, and disappear when you delete them. For the small amount of data on our own backend, we keep your tier and credit balance while your account is in use, and the AI audit log and usage counters for as long as they remain useful for support and fault-finding. All of it is deleted on request, and the request costs you nothing.

Sending data outside your country

Budget Clan's backend runs in Sydney, Australia. Some of the services it depends on process data elsewhere, including in the United States: see the Google Cloud, Cloudflare, RevenueCat and Gemini API pages for exactly which data goes where. For transfers out of the EEA or the UK we rely on the Standard Contractual Clauses contained in each provider's data processing agreement, linked from those pages.

Your rights

You can ask us to give you a copy of the personal data we hold about you, correct it, delete it, restrict or object to how we use it, or send it to you in a portable form. Email policy.legal@budgetclan.app and we will respond within one month.

In practice the answer to most of these is immediate, because the data is already yours: your records live in your own Google Drive in a standard spreadsheet format you can export or delete yourself at any time. The rights above matter mainly for the small amount of subscription and usage data on our backend.

We do not make any decision about you by automated means that produces a legal or similarly significant effect. AI extraction reads a document you chose to submit and proposes values for you to review; it decides nothing on its own.

If you think we have handled your data badly, you can complain to us first, and you also have the right to complain to a data protection authority: your local supervisory authority in the EEA, the Information Commissioner's Office in the UK, or the Office of the Australian Information Commissioner in Australia.

Keeping it secure

Access to your records is controlled by your own Google account and the permissions you grant at sign-in, which you can withdraw at any time. Traffic to and from the app is encrypted in transit. Your Gemini API key, if you set one, is encrypted before it is written to your Settings sheet and is bound to your Google account, so a copy of that sheet is useless to anyone else.

Your control over your data

Because your data lives in your own Google Drive, you control it exactly as you would any other personal file: back it up, share it, export it, or delete it at any time. You can revoke Budget Clan's access entirely from your Google Account permissions page; doing so immediately stops the app from being able to read or write your data.

Cookies & tracking

This website and the app do not use advertising trackers or third-party analytics cookies.

Children's privacy

Budget Clan is not directed at children. It is not intended for anyone under 16 in the EEA or the UK, or under 13 elsewhere, except where local law sets a different age.

Changes to this policy

If this policy changes, the update will be posted on this page with a new "last updated" date.
